How the desk works

Nothing to install, no app, no password. From the moment a couple presses send to your 07:00 email; every screen below is recreated from the desk's own templates, with made-up data.

1. Set-up: one sitting with Chris

Chris sets up your desk with you in one sitting of about 30 minutes. You tell him:

Your packages and prices
As rows: the kind of event, the days, the season, per event or per guest, and any guest limits. A reply gives prices only from these rows, and only once you've approved them.
Blocked dates
The dates you can't host. For any other date, the reply says it's provisionally open and when you'll confirm.
Viewing times
At least 2 a week. Each reply offers two of them, at least a day ahead.
Languages
English or Afrikaans (u-form), following the couple, in the languages you choose. Until the Afrikaans wording is proofread, the desk replies in English.
Reply-to address
Your own inbox, where a couple's answer lands.
Closed days
The days you don't work. A reply says you'll confirm by your next open day, at the time you choose.
Your legal name and address
For the privacy notice at the foot of every reply, which names your venue as responsible for the couple's details.

You sign the operator agreement (DPA) before any real enquiry reaches the desk.

Everything you do, from yes to day 30

  1. After your demo, if you want the pilot: pay R999 incl. VAT by the Paystack link Chris emails with the operator agreement and the pilot terms, and sign both. Nothing is paid on this website.
  2. Sit with Chris for about 30 minutes and give him the facts above.
  3. Connect the desk to your web form or inbox, and send one test enquiry with Chris (step 2).
  4. Publish the privacy wording Chris gives you on your website.
  5. For your first 3 days, approve the drafts by link. Then say yes to automatic replies, or stay on drafts.
  6. Tell Chris when a price or a date changes. If he has it by 14:00 on a working day, he changes it that day; otherwise by 10:00 the next working day (step 8). Confirm your blocked dates to him at least once every 7 days, even if nothing has changed.
  7. Tell Chris when a couple agrees a viewing date and time with you. The pilot's viewing refund counts these; the pricing page has the price, when your desk goes live and both refunds.
  8. Don't use the desk for marketing or follow-ups.

2. Connect your web form or inbox

The desk only sees the enquiries you pass on to it. Couples keep writing to you exactly as they do now. There are two ways:

  1. Add the desk's address (it ends in @desk.yielde.dev) as a second recipient on your website's enquiry form. If your email runs on Microsoft 365, this is the only route.
  2. Or forward enquiries from your inbox to the desk.

The desk never logs in to your mailbox: it sees only what your form or forwarding sends it. Then you send one test enquiry with Chris.

Not connected: WhatsApp, Instagram, phone calls. Those stay with you.

3. An enquiry arrives

The AI reads the enquiry and picks out the date, the number of guests, the kind of event, any budget, the couple's questions and their language. It doesn't read attachments or PDFs. The AI only reads: what the couple receives is fixed wording and your price list.

Not every message gets an automatic reply, on purpose.

It replies by itself when…

After your first 3 days, and only once you've said yes:

  • the date is exact and open, the event is one you host, and the guests fit your seating
  • the date is one you've blocked, but nearby dates are open: it offers those
  • the message only asks questions you've given Chris the answers to

In each case, only while your blocked dates were updated in the last 7 days and two viewing times are free.

It drafts for you when…

  • there's no exact date, or a range, or several dates
  • the date is blocked and no nearby date is open
  • the date is less than 14 days away
  • there are more guests than you seat
  • it's for an event you don't host, or a memorial, or the kind of event isn't clear
  • your blocked dates are more than 7 days old
  • fewer than 2 viewing times are left
  • the message asks for a discount or a price change: that request is never obeyed
  • the message is hard to read with confidence, or there's no safe address to reply to
  • it arrives in your first 3 days, or while you've chosen to stay on drafts
  • more than 10 automatic replies have gone out in the past hour: the later ones wait for you
  • it arrives while replies are stopped: it waits, and comes back as a draft when you turn replies back on

It never…

  • turns a couple away: more guests than you seat, or an unclear enquiry, becomes a draft for you, never a “no”
  • answers auto-replies, bounces or mailing lists: they're set aside and counted in your 07:00 email
  • replies twice to the same couple within 90 days: a repeat enquiry is listed for you to answer yourself
  • sends a follow-up or a reminder
  • guesses a price: if no row in your table fits, no price appears

An Afrikaans enquiry gets its reply in English until the Afrikaans wording is proofread. Other languages become a draft for you.

4. The couple's reply

Once automatic replies are on, this is the reply a couple gets, word for word. Only their names, date and guest count, your prices and your viewing times change; every other sentence is fixed wording. It goes out from “‹your venue› via Yielde”, and you get a copy.

What each part does

  1. provisionally open

    It never calls a date booked. It says when you'll confirm: your next open day, at the time you choose.

  2. From our current price list

    Prices come only from rows in the table you approved. If no row fits, no price appears.

  3. These are indicative prices, not an offer.

    It never makes an offer. Your written quote follows the viewing.

  4. These viewing times are open

    Two times from your own viewing list. The couple replies to choose one, and that reply lands in your inbox.

  5. sent automatically

    Every reply says so in one line, and that you'll reply personally. A POPIA notice names your venue as responsible for the couple's details.

The 15-minute promise, in full

Every enquiry that reaches the desk from your web form or email gets its first reply within 15 minutes, day or night. When the desk isn't sure, you get a draft to approve within 15 minutes instead.

Not covered by the 15 minutes:

  • your first 3 days, when every reply is a draft for you
  • any time you've stopped replies
  • auto-replies and bounces, which are set aside and counted in your 07:00 email
  • repeat enquiries, which you answer yourself

This is the pilot's stated promise. The pilot terms set out what happens in an outage.

5. When the desk isn't sure: a draft for you

When an enquiry needs you, the desk writes the reply but doesn't send it. As soon as the draft exists, it emails it to you: why it's a draft, the reply as the couple would get it, and their own message.

  • Approve & send: the link opens a page showing exactly what will be sent, with one button. The link works once, for 7 days. Opening a link never sends anything by itself.
  • Or answer the couple yourself from your own inbox. The desk sends nothing unless you approve.
  • You can't edit a draft in this version. If it needs changing, answer the couple yourself.
  • A draft you haven't approved within 7 days is marked in your 07:00 email, for you to answer personally if you still want to.
  • An approved reply says so in its own line: it was prepared automatically, and you checked it before it was sent.

6. 07:00: one email

Every morning at 07:00 you get one email: every enquiry, best fit first, what was sent and every draft waiting for you. It comes even on a morning with no enquiries. Drafts still reach you as they happen, and you get a copy of every reply.

This sample is the made-up demo venue's email, so it starts with a DEMO line.

  • Auto-replies and bounces are set aside and counted, not answered.
  • “Best fit first” only sorts the list, by the date, the guests, the budget, the event and how far ahead it is. Nothing is declined or delayed because of it.
  • Each draft waiting for you shows why it's a draft, with its Approve & send link.
  • “Stop all replies now” is at the end of every 07:00 email.

7. Stop, resume, look back

One tap in every 07:00 email and every draft email stops all replies within a minute. When you turn replies back on, anything held comes back as a draft. Nothing goes out late.

The stop link opens this page, with one button; opening the link alone changes nothing. While replies are stopped, new enquiries are still received and counted, and your 07:00 email and draft emails keep coming.

Look back at any reply

Every reply and draft in your 07:00 email has a View link. It opens a read-only page with the exact reply that was sent or drafted, when, and the prices it used. Every enquiry, reply, approval and stop is logged with a time.

View and stop links work for 30 days, and every 07:00 email carries fresh ones.

8. Keeping prices and dates current

There's nothing for you to log in to. When a price or a date changes, tell Chris by email or phone. He changes it the same working day if he has it by 14:00, otherwise by 10:00 the next working day (service levels).

The desk trusts your blocked dates only while they're fresh, so confirm them to Chris at least once every 7 days, even if nothing has changed. If they're more than 7 days old, every reply becomes a draft until you send Chris an update. From day 5 your 07:00 email reminds you. After 7 days, a line at the top of it reads, for example:

Your blocked dates were last updated 9 days ago. Until you send Chris an update, every reply is a draft for you to approve.

What this version doesn't do

  • an app, dashboard or login
  • calendar sync
  • a CRM or lead pipeline
  • replies from your own email address
  • a booking page for couples
  • changing prices or dates yourself: tell Chris, and he changes them the same working day (by 10:00 the next working day if after 14:00)
